Docman GP[edit]

Docman GP provides a complete electronic document management, collaboration and workflow solution for over 6,000 GP practices. The software is used by every GP practice in NHS Scotland and is cited in the Good Practice Guidelines for General Practice Practice Guidelines.

Docman Hub (formerly EDT Hub)[edit]

Docman Hub is used by over 100 NHS Trusts to send documents electronically from NHS Secondary Care Trusts to NHS Primary Care Trusts. In 2011 the solution was chosen by NHS Scotland for a national roll-out as reported in Guardian

Docman Hub a multi-directional document transfer platform provides a secure, reliable and flexible platform for the electronic communication of documentation between Secondary, Primary and Social Care providers.

Docman Hub captures documents from Secondary Care systems and distributes them to any GP practice. The solution extends this functionality to allow for two way document transfer between organisations, for example GP practices sending electronic documents to hospitals.

By sending documents electronically, Hospital Trusts can not only meet delivery targets like the 24 hour discharge summary, but they can also make significant savings by removing printing and postage costs.

Electronic document transfer is able to collect from multiple message streams enabling practices to receive from multiple document sources in the same Trust or from neighbouring Trusts. No matter how many streams a practice collects from, all documents are delivered to Docman GP. This is convenient both in practical terms for the Clinician and from an audit / clinical governance point of view.

Electronic document transfer is currently being used for transferring:

   Discharge Summaries
   Discharge Letters
   Encounter Reports
   Radiology Reports
   Outpatient Clinic Letters
   Out-of-Hours Reports
   111 messages

Docman Hub is currently being used by over 100 Trusts to send documents electronically. The solution is one of the very first to be granted NHS Interoperability ToolKit Accreditation.

Docman RMS[edit]

Docman RMS Referral Management System provides Trusts with a complete electronic document management and workflow solution for managing all referral documentation from external and internal sources.

Managing incoming referrals that are received in differing ways can be a challenging and time consuming process. Letters may arrive into the organisation as a hard copy document, email, Choose and Book or by fax, adding to the complexity of managing this process. Documents arrive into the Trust in a variety of ways and create a huge workload for administration professionals. Letters need to be sorted and transferred to a Clinicians intray, where is it time consuming and difficult to track where documents are in the process. Patients may call the hospital for an update on their referral and the hospital may not be able to tell them where the letter is or whether they have received it. Using Docman RMS will ensure no paper is mislaid, ease-of-access to information and processes are streamlined and flexible to the ways professionals work.

Benefits include:

Reduced manual administration staff time (searching, capturing data and workflow)
Reduced number of missed targets and risk of lost referrals
More consistent timescales for appointment booking
Enable collaborative working between departments and teams
Remove processes and efforts of handling paper around the trust
Improve ease of information access for Clinicians
Reduce patient complaints / Increase satisfaction

Receiving all your referrals into Docman RMS will enable your organisation to electronically manage referrals in one place, track where the document is within the process and save time moving the document electronically around to clinicians.

Docman RMS will provide the platform to capture, file, workflow and track electronically every referral which arrives in to your hospital. All of this is underpinned by a comprehensive audit trail and enables access to where documents are in the process. Quickly capture incoming referrals from any source:

   Letter
   Fax
   Email
   Choose and Book
   Docman Hub
